Step-by-Step Action Plan to Implement Your Branded Email:
- Evaluate your current email situation.
- Are you or your team using Gmail, Yahoo, MSN, etc.?
- Is your email domain aligned with your website?
- Choose your platform:
- Google Workspace (best if your team uses Macs or Google tools)
- Microsoft 365 (best for PC-heavy teams or Microsoft Office users)
- Purchase your domain if you haven’t yet.
- Set up DNS records (SPF, DKIM, DMARC).
- Use Cloudflare for DNS management (recommended).
- Create branded email addresses for all team members.
- Format: firstname@yourdomain.com or role-based (e.g., sales@yourdomain.com)
- Set clear onboarding rules:
- Require use of company email for all tools and logins.
- Create a secure password policy.
- Share credentials using secure tools (e.g., LastPass for Teams).
- Establish offboarding protocols:
- Transfer ownership of emails and shared content.
- Redirect ex-employee email to an alias (e.g., offboarding@yourdomain.com).
- Revoke tool access immediately.
- Document everything:
